Setting Up Your Business Phone Number

Why Use a Business Phone Number?

A dedicated business number keeps your personal phone number private while giving your customers a professional way to reach you. It works just like a regular US phone number — customers can call it, text it, and save it in their contacts.

Getting Your Number

You can set up your business number during onboarding or any time afterward:

  1. Go to Settings > Setup in the left sidebar.
  2. Find the Activate Business Number step.
  3. Enter the area code you’d like for your number. Pick one that matches the area you serve so customers see a familiar local number.
  4. Click Get Number.
  5. Kairvio provisions a real phone number for you in seconds. Once it appears on screen, your number is live and ready to use.

Tip: If you don’t see an available number with your preferred area code, try a nearby area code. Availability depends on what’s open with our phone provider.

Setting Up Call Routing

Once your number is active, you’ll see call routing options on the same Settings > Setup page. Choose how incoming calls are handled:

  • Ring My Phone — Forward calls to your personal phone so you can answer on the go.
  • Answer in App — Take calls directly in the Kairvio browser app.
  • Smart Routing — Let Kairvio decide the best option based on your availability.

You can change your call routing preference at any time from the Setup page.

What Your Business Number Can Do

  • Receive calls — Customers dial your business number and the call is routed to you based on your call routing settings.
  • Receive texts — Inbound SMS messages appear in your unified inbox.
  • Send texts — Reply to customers via SMS directly from the inbox.
  • Make outbound calls — Call customers from your browser and your business number shows up on their caller ID.

Making Outbound Calls

  1. Open a customer’s conversation in the inbox, or find them in your contacts.
  2. Click the phone icon to start a call.
  3. The call connects through your browser — no desk phone or extra app needed.
  4. The customer sees your business number on their caller ID, not your personal number.

Tip: Make sure your browser has microphone access enabled for calls to work. You’ll see a permission prompt the first time you place a call.

Things to Know

  • Your business number is powered by Twilio, a trusted communications platform.
  • The number stays yours as long as your Kairvio account is active.
  • You can share this number on your website, business cards, Google Business Profile, and anywhere else customers look for you.
