Getting Started
How do I sign up for Kairvio?
Visit kairvio.com and click "Start Free Trial." You'll create an account with your email, verify it, and go through a quick onboarding wizard that sets up your business profile, phone routing, and business number. The whole process takes about 5 minutes.
Is there a free trial?
Yes. You get a 14-day free trial with access to all Pro features. No credit card required. During the trial, phone provisioning and SMS are paused until you choose a paid plan.
Can I use Kairvio on my phone?
Absolutely. Kairvio is a progressive web app (PWA), which means you can add it to your home screen on iPhone or Android and it works just like a native app. Go to app.kairvio.com in your phone's browser and follow the "Add to Home Screen" prompt.
How long does setup take?
Most businesses are fully set up in under 10 minutes. The onboarding wizard walks you through each step: business info, call routing, phone number activation, and auto-text configuration.
Phone & Calling
Do I get a real phone number?
Yes. Kairvio provisions a real US phone number with the area code of your choice. Customers can call and text this number, and it's fully yours as long as your account is active.
Can I keep my existing phone number?
Kairvio provides a new business phone number. If you want to use your existing number, you can set up call forwarding from your current carrier to your Kairvio number, or use Kairvio's number as your primary business line going forward.
What happens when a customer calls?
Depending on your routing mode: the call rings your personal phone (Ring My Phone), rings in your browser (Answer in App), or tries your browser first then forwards to your phone (Smart Routing). If you have the AI Voice Receptionist enabled, the AI can answer and have a conversation with the caller.
Can I make outbound calls?
Yes. You can call customers directly from the Kairvio app using your business phone number, so your personal number stays private.
What if I miss a call?
If auto-text is enabled, the caller automatically receives a text message within seconds. The call is logged in your call history, and if they left a voicemail, it appears with a transcription in your call log.
AI Features
How does the AI know about my business?
The AI automatically uses your business name, hours of operation, and price book to answer questions. You can also provide custom instructions about your specialties, service area, and anything else you want it to know.
Will customers know they're talking to AI?
AI messages are labeled in your inbox so you can tell them apart, but customers see them as normal text messages from your business number. It's up to you whether to disclose the use of AI.
What if the AI says something wrong?
You can jump into any conversation at any time. When you reply manually, the AI automatically pauses for a configurable period (default: 30 minutes) so you can take over without the bot jumping back in.
How much does the AI cost?
AI features are included in the Pro plan and above at no additional per-message cost. The AI uses your business information to generate relevant, professional responses.
What's the difference between the Keyword Bot and the AI Assistant?
The Keyword Bot sends instant, pre-written responses based on specific trigger words — it's fast, free, and predictable. The AI Assistant generates original responses using your business info — it's more flexible and handles complex questions. Keywords are always checked first, so you can use them together.
Billing & Payments
How do I accept payments from customers?
Connect your Stripe account in Settings. Once connected, a "Pay Now" button appears on all sent invoices, and customers can pay with a credit or debit card.
When do I get paid?
Payments are processed through Stripe and deposited directly into your bank account according to your Stripe payout schedule (typically 2 business days for established accounts).
How much does Kairvio cost?
Plans start at $79/month for Starter, $179/month for Pro, and $349/month for Business. Annual billing saves about 20%. All plans include a 14-day free trial.
Is there a contract or setup fee?
Nope. Month-to-month billing, cancel anytime. No setup fees. Start with a free 14-day trial — no credit card required.
Integrations
Can I connect Kairvio to Zapier or Make?
Yes. The Pro plan and above includes webhook integrations that let you receive leads from Zapier, Make, or any custom tool. Create a webhook URL in Settings and use it as the destination in your automation.
Does Kairvio work with Facebook and Instagram?
Yes. Connect your Facebook Page in Settings, and both Facebook Messenger and Instagram DMs flow into your unified inbox. You can respond to all messages from one place.
Can I connect Kairvio to my website?
Yes, in several ways: embed a lead capture form, add a booking widget (button, iframe, or popup), or connect through webhooks. All configured in Settings.
Security & Privacy
Is my data secure?
Yes. Kairvio uses industry-standard security including encrypted connections (HTTPS/TLS), secure authentication, and row-level security on the database. Each business's data is completely isolated.
Is my customers' payment information stored?
No. Payment processing is handled entirely by Stripe. Kairvio never stores credit card numbers or sensitive payment data. Stripe is PCI Level 1 compliant, the highest level of payment security certification.
Do you sell my data?
No. Your data is yours. We do not sell, share, or monetize your business data or customer information. See our Privacy Policy for full details.
Where is my data stored?
Your data is stored on secure cloud infrastructure in the United States. All providers maintain SOC 2 compliance and industry-standard security certifications.
