Three Ways to Receive Calls

When a customer dials your business number, Kairvio needs to know where to send the call. You have three routing modes to choose from.

Ring My Phone

Incoming calls are forwarded to your cell phone number. Your phone rings when a customer calls.

  • Your personal number is never shown to the customer — they only see your business number.
  • Calls ring your cell just like any other incoming call.
  • Best for: business owners who are on the go most of the day.

Answer in App

Calls ring directly in your browser — no cell phone needed. Your browser rings when a customer calls.

  • You’ll hear a ring in the Kairvio app when a call comes in.
  • Requires a working microphone and speakers or headset.
  • Best for: teams who work from a desk and want to handle calls from one screen.

Note: Requires the app to be open to receive calls.

Tries the app first, then falls back to your cell if unanswered. Best of both — never miss a call.

  • Reduces missed calls significantly and covers you whether you’re at your desk or not.
  • Best for: most businesses. It gives you the convenience of in-app calling with the safety net of your mobile.

How to Set Up Call Routing

  1. Go to Settings > Setup in the left sidebar.
  2. Find the Call Routing section.
  3. Select your preferred mode: Ring My Phone, Answer in App, or Smart Routing.
  4. If you chose Ring My Phone or Smart Routing, enter the personal phone number you want calls forwarded to.
  5. Save your changes.

Test Your Setup

After choosing a routing mode, place a test call to your business number from a different phone to make sure everything works as expected:

  • Ring My Phone — Your cell should ring within a few seconds.
  • Answer in App — You should hear a ring in the Kairvio app. Make sure the tab is open and your system volume is up.
  • Smart Routing — Let the app ring without answering. After a few seconds, your cell phone should start ringing.

Tip: If calls aren’t coming through to your browser, check that you’ve granted microphone permissions and that your browser notifications are enabled for Kairvio.

Tip: Always call customers from the app — your business number shows as the caller ID, keeping your personal number private.
