Auto-Text for Missed Calls

When you miss a phone call, Kairvio can automatically send a text to the caller within seconds. The Auto-Text feature covers missed callers, voicemail contacts, and IVR greetings. You can set different messages for business hours and after hours, and optionally send a follow-up text if the caller doesn’t respond. This matters because the vast majority of callers who reach voicemail won’t leave a message. Auto-text keeps those leads alive by opening a text conversation instead.

How to Set It Up

  1. Go to Settings > AI & Automation and find the Auto-Text card (“Auto-text missed callers, voicemail, IVR greeting”).
  2. Make sure the toggle is turned on (it’s enabled by default).
  3. Click the expand chevron to open the card’s settings.
  4. Customize your business hours message. This is what callers receive when you miss their call during operating hours.
  5. Customize your after-hours message. This goes out when someone calls outside your business hours.
  6. Optionally, set a follow-up message and follow-up delay for callers who don’t respond to the first text. We recommend a delay of 2 to 4 hours.
  7. Click Save.

Using Merge Tags

Make your messages feel personal by using merge tags. They automatically fill in with the right information for each caller:

  • {{customer_name}} — the caller’s name (if known from your contacts)
  • {{business_name}} — your business name

Example business hours message: “Hi {{customer_name}}, sorry we missed your call! This is {{business_name}}. How can we help you? Feel free to text us here or book online: [your booking link]”

Example after-hours message: “Thanks for calling {{business_name}}! We’re closed for the day but will be back in the morning. Text us here and we’ll reply first thing, or book anytime at: [your booking link]“

Tips

  • Always include your booking link. Give callers an immediate next step, even if you can’t respond right away.
  • Use a different tone for after-hours messages. Acknowledge that you’re closed and set expectations for when you’ll respond.
  • Check out the pre-built templates. Kairvio includes industry-specific templates to help you get started. Look for them inside the Auto-Text card when customizing your messages.
  • Keep the follow-up message light. Something like “Just checking in — did you still need help with anything?” works well. Don’t be pushy.
  • A 2- to 4-hour follow-up delay hits the sweet spot. Long enough that it doesn’t feel aggressive, short enough that the lead is still warm.
