Reports and Analytics
Overview
Kairvio gives you a real-time snapshot of your business performance right on the Dashboard — the first screen you see when you log in. There is no separate Reports tab; all your key metrics live on the Dashboard so you can check in at a glance.
Accessing Your Metrics
- Click Dashboard in the sidebar navigation.
- Your key stats are displayed at the top of the page.
Top-Level Stats
The Dashboard shows four primary metrics front and center:
- Revenue (Month) — Your total invoiced revenue for the current month.
- Outstanding — The total amount of unpaid invoices across all customers.
- Jobs Today — The number of appointments scheduled for today.
- Open Messages — Unread messages in your inbox waiting for a response.
Activity Metrics
Below the top-level stats, the Dashboard displays daily and weekly activity:
- Calls Today — The number of inbound calls received today.
- Missed Calls — How many calls went unanswered today.
- Auto-Texts This Week — The number of automatic text responses sent this week (e.g., missed call auto-replies).
Key Metrics to Watch
- Revenue (Month) — Are you hitting your monthly revenue targets?
- Outstanding — Is your outstanding balance growing? If so, review your payment reminder settings in Settings > Notifications.
- Missed Calls — A high missed call count means lost opportunities. Consider enabling Kairvio’s auto-text reply or AI receptionist to make sure every caller gets a response.
- Open Messages — Keep this number low by responding to leads and customers promptly.
Tips
- Check your Dashboard daily. A quick look each morning helps you prioritize your day — see how many jobs are on the schedule and whether any messages need attention.
- Watch your missed calls closely. If missed calls are climbing, enable auto-text replies or the AI receptionist in Settings > AI & Automation so every caller gets a response.
- Monitor outstanding invoices. If the Outstanding amount is growing, tighten up your payment reminder schedule in Settings > Notifications to follow up faster on overdue invoices.
- Use open messages as a to-do list. Aim to clear your Open Messages count by end of day to keep response times fast and customers happy.
