Managing Your Price Book

Overview

Your price book is a central list of all the services your business offers, including names, descriptions, prices, and durations. It’s used across Kairvio to speed up invoicing, power your AI assistant, and keep your booking page accurate.

Accessing Your Price Book

  1. Go to Settings > Price Book (under the BUSINESS TOOLS section).
  2. You’ll see a list of all your current services. From here you can add, edit, or remove entries.

Adding a Service

  1. Go to Settings > Price Book (under the BUSINESS TOOLS section).
  2. Click Add Service.
  3. Fill in the details:
    • Name — The service name your team and customers will see (e.g., “Standard Lawn Mow”).
    • Description — A brief summary of what’s included.
    • Price — The base price for the service.
    • Duration — How long the service typically takes (e.g., 60 minutes).
  4. Click Save.

The service is now available to use across Kairvio.

Where Your Price Book Is Used

Your price book connects to several key features:

  • Invoices — Quickly add line items from your price book instead of typing them manually every time.
  • Quotes — Build accurate quotes in seconds by selecting from your service list.
  • Appointments — Attach services to appointments so durations are set automatically.
  • AI Assistant — Kairvio’s AI references your price book when answering customer questions about pricing and services.
  • Sales Co-Pilot — When Sales Co-Pilot is active, the AI uses your price book to provide accurate pricing in reply suggestions.

Keeping Your Price Book Updated

Because your price book feeds into so many parts of Kairvio, keeping it current matters. Outdated entries can lead to:

  • The AI quoting incorrect prices to customers
  • Invoices with wrong amounts
  • Appointments with inaccurate time blocks on your booking page

Whenever you change your pricing, add a new service, or retire an old one, update your price book right away.

Tips

  • Add all your standard services. Even if you occasionally do custom work, having your core services listed saves time on every invoice and quote.
  • Include service variations. If you offer different tiers (e.g., “Standard Clean” vs. “Deep Clean”), add each as a separate entry with its own price and duration.
  • Set accurate durations. Durations drive your booking page availability. If a service takes 90 minutes but you have it listed as 60, your schedule will get overbooked.
  • Review your price book quarterly. Materials costs and labor rates change — a quick review keeps everything aligned with your actual pricing.
