Lead Capture Forms and Webhooks

Overview

Every lead that comes in should land in your Kairvio inbox automatically. With web forms and webhooks, you can capture leads from your website, ad campaigns, and tools like Zapier or Make — no manual entry required.

Every lead is tagged with its source, so you always know which channels are driving the most business.

Plan availability: Lead Capture and Webhooks are available on the Business plan ($349/mo) and above. If you are on the Starter or Pro plan, these options will not appear in your Settings sidebar. Upgrade your plan under Settings > Billing to unlock these features.

Setting Up Web Forms

Web forms let you collect leads directly from your website or a hosted Kairvio page.

  1. Go to Settings > Lead Capture.
  2. Click Create Form.
  3. Customize the fields your form collects:
    • Name
    • Phone number
    • Email address
    • Message or service request
  4. Save the form.
  5. Copy the hosted URL to share the form as a standalone page, or copy the embed code to add it directly to your website.

When someone submits the form, a new lead is created in your inbox and you receive an SMS notification so you can respond quickly.

Setting Up Webhooks

Webhooks let you receive leads from external tools and ad platforms automatically.

  1. Go to Settings > Webhooks.
  2. Click Create Webhook.
  3. Copy the generated webhook URL.
  4. Paste the URL into the platform you want to connect:
    • Zapier — Use the webhook URL as the destination in a Zap.
    • Make (formerly Integromat) — Add it as an HTTP module target.
    • Google Ads — Paste it into your lead form extension settings.
    • Facebook Lead Ads — Connect it through your CRM integration settings or a tool like Zapier.

Leads sent to your webhook are automatically created in Kairvio with a source tag matching the originating platform.

Tracking Lead Sources

Every lead captured through a form or webhook is tagged with its source. You can see these tags in your inbox and in your reports, which helps you answer questions like:

  • Which ad campaign is generating the most leads?
  • Are website form leads converting better than social media leads?
  • Where should you invest more of your marketing budget?

Pairing with Follow-Up Sequences

For the best results, pair your lead capture setup with Follow-Up Sequences. When a new lead comes in, Kairvio can automatically send a series of texts or emails to nurture the lead — so even if you’re busy on a job, your new prospect gets a timely response.

Tips

  • Test your form by submitting a sample entry to make sure leads appear in your inbox.
  • Use separate webhooks for different ad platforms so you can compare performance by source.
  • Keep your form fields simple — name, phone, and a short message are usually enough to get the conversation started.
