Quotes and Proposals

Create a quote

  1. Go to Money in the sidebar.
  2. Switch to the Quotes tab at the top of the page.
  3. Click the + button in the top-right or bottom-right corner of the page.
  4. Select an existing customer or add a new one.
  5. Add line items from your Price Book or enter custom items with a description, quantity, and price.
  6. Set the tax rate and any applicable discounts.
  7. Add customer notes (visible to the customer) and internal team notes (visible only to your team).

The process is nearly identical to creating an invoice, so if you’re already comfortable with invoicing you’ll feel right at home.

Offer tiered pricing with Good/Better/Best proposals

On the Pro plan, you can present your customer with up to three pricing tiers on a single quote:

  • Good — your base option.
  • Better — a mid-range option with added services or upgrades.
  • Best — the premium option with everything included.

This approach lets customers choose the level of service that fits their budget, and it often leads to higher-value jobs. Each tier has its own line items and total, all presented on one clean page.

How customers respond

When you send a quote, your customer receives a link to view it online. From there they can:

  • Accept the quote — you’ll be notified right away.
  • Decline the quote — you’ll see the update on your dashboard.

No account or login is required on the customer’s end.

Convert a quote to an invoice

Once a customer accepts a quote, turning it into an invoice takes one click:

  1. Open the accepted quote.
  2. Click Convert to Invoice.
  3. All the line items, tax, and customer details carry over automatically.
  4. Review, make any final adjustments, and send.

Automatic follow-up for unanswered quotes

Kairvio’s Quote Follow-Up sequence takes care of nudging customers who haven’t responded. When a quote goes unanswered, the system automatically sends friendly reminders on a schedule so you don’t have to remember to follow up manually.

This runs in the background and stops as soon as the customer accepts or declines.

Tips

  • Tiered proposals work especially well for home services, landscaping, and remodeling — anywhere customers appreciate options.
  • Keep your Price Book up to date so building quotes is fast and pricing stays consistent. Go to Settings > Price Book to manage your items.
  • Review your quote conversion rate on the dashboard to understand how your pricing is landing with customers.
