Follow-Ups & Campaigns

The follow-up you
never get around to.

Most jobs aren't lost to a competitor. They're lost because nobody followed up. Kairvio checks in on new leads, missed callers, and open quotes for you, and stops the second the customer writes back.

How it works

1

Something happens

A new lead comes in, a call goes unanswered, or you send a quote.

2

Kairvio follows up

Friendly texts or emails go out on a schedule we set together, like an hour later, the next day, and three days later.

3

It stops when they answer

The moment the customer replies, or accepts the quote, the follow-ups stop. You take it from there in your inbox.

What's included

New lead follow-up

When a lead comes in and nobody has answered yet, they hear from you anyway, then again if they go quiet.

Missed call follow-up

After the instant text-back, a check-in the next day and a few days later if they never wrote back.

Quote follow-up

Nudges on open quotes. The AI can write each one about that specific quote: the options, the total, and whether they have opened it yet.

Stops on its own

Follow-ups stop when the customer replies on any channel, or when the quote is accepted, declined, or paid. Nobody gets a reminder after they said yes.

Quiet hours, built in

Texts only go out between 9am and 8pm in the customer's time zone. Anything scheduled outside that waits until morning.

Review requests

After a job is marked done, a friendly text asks for a Google review. No customer is asked more than once every 90 days.

Text campaigns to past customers

A seasonal offer or a "time for your tune-up?" text to customers who agreed to marketing texts. Replies land in your inbox, where the AI can answer and book.

Service-due reminders

An automatic text when a customer is due again, like a tune-up a year after the last one. Uses the same marketing registration as campaigns.

Opt-outs handled

Every marketing text says who it is from and how to stop. Anyone who replies STOP never hears from you again.

Why follow-up is where the money is

Think about last month's quotes. How many did you follow up on twice? Most owners mean to, then a busy week happens. Meanwhile the customer was just waiting for someone to ask again, and the first business that did got the job.

Automatic follow-ups fix that without making you sound like a robot. They're short, they come from your business, and they stop the moment a real conversation starts. You decide the wording and the timing with us once, and then it simply happens.

Your past customers are the cheapest jobs you'll ever book. A reminder that their system is due, or a seasonal offer, brings them back without paying for a single ad.

Frequently asked questions

Will my customers feel spammed?
No. Follow-ups are a few short texts spread over days, they stop as soon as the customer replies, and they only go out during the day. You approve the wording.
Do I have to write the messages?
No. We start from messages that work for your trade and adjust them to sound like you. For quotes, the AI can write each follow-up about that customer's quote.
Can I text all my past customers today?
Campaigns go to customers who agreed to receive marketing texts. Carriers also require a separate registration for marketing texts, which takes about one to three weeks, and we handle it for you. Reminders, quotes, and invoices don't need it.
What if a customer replies STOP?
They are taken off immediately and never get another text from your business.
Do review requests go to every customer?
They go out after a job is marked complete, and no customer is asked more than once every 90 days.
