Smart Routing

A call routing strategy that tries multiple endpoints — browser, cell phone, AI — in sequence so the call gets answered no matter where you are.

Smart routing is a call-handling strategy where an inbound call is automatically tried against multiple endpoints in a defined order before being treated as missed.

A typical smart routing flow for a small service business:

  1. Ring the in-app browser line for ~10 seconds (so the owner or dispatcher can answer at their desk).
  2. If unanswered, forward to the owner’s cell phone.
  3. If still unanswered, route to the AI voice receptionist.
  4. If the AI can’t help, capture a voicemail with auto-transcription and trigger a follow-up text.

The result: very few calls actually go unanswered, even when the team is in the field.

How It’s Different from Plain Forwarding

Old-school call forwarding sends every call to one number. If that number doesn’t answer, the call dies. Smart routing layers in fallbacks. It’s the difference between one safety net and four.

For multi-tech operations, smart routing also includes ring groups — multiple team members ringing at once or in a defined order — and ACD queues that hold callers in line if all techs are busy.

When Smart Routing Helps Most

Service businesses where the owner or dispatcher is sometimes at a desk and sometimes in the field. Also any business with after-hours volume or seasonal spikes. Smart routing means the same phone number can be answered in the office during business hours and by the AI receptionist at 11 PM, with no manual switching.
